ChatBook + Cloudbeds: how we turn conversations into bookings without touching your operation

Technical but understandable. No marketing. This explains how the integration really works.

Integration principle

ChatBook doesn't replace Cloudbeds
ChatBook doesn't replicate its logic
ChatBook doesn't interfere with your operation

ChatBook acts as a cognitive conversational layer that queries Cloudbeds only when necessary to sell better.

What information does ChatBook consume from Cloudbeds

The integration is designed under the principle of minimum necessary access.

Data we query

  • Availability by date
  • Base rates
  • Simple restrictions (if applicable)

Data we do NOT touch

  • Accounting
  • Housekeeping
  • Financial reports
  • Internal configuration
  • Unnecessary sensitive data

This makes the integration secure, fast and stable.

Real technical flow (step by step)

1

The guest starts the conversation

The guest writes via WhatsApp, Instagram, or web chat. ChatBook receives the message and analyzes the intent.

2

ChatBook structures the conversation

Before querying Cloudbeds, ChatBook identifies: dates, number of guests, room type (if applicable).

It doesn't query the PMS blindly. This reduces unnecessary calls.

3

Availability query in Cloudbeds

When intent is clear, ChatBook queries availability via the Cloudbeds API, gets updated rates, and respects configured restrictions.

All in near real time.

4

Coherent response to the guest

ChatBook responds with real prices, real availability, no contradictions. The conversation continues without friction.

5

Closing preparation

ChatBook captures guest data, leaves the booking ready, or hands off to the human team at the best moment.

Cloudbeds remains the master system.

What happens if Cloudbeds doesn't respond in time

This is critical and few explain it.

If the API:

  • Takes too long
  • Fails
  • Has temporary limitations

ChatBook:

  • Informs transparently
  • Proposes alternatives
  • Captures the lead
  • Never blocks the conversation

The guest's decision is protected even in the face of external failures.

Synchronization model

On-demand queries (no aggressive polling)
No massive writing
No invasive background processes

This avoids: blockages, inconsistencies, fragile dependencies.

Security and control

Accesses limited by token
Reduced scope
No unnecessary permissions
Revocable at any time

Cloudbeds remains your source of truth.

Real time vs "useful time"

ChatBook doesn't promise "absolute real time". It promises useful time to decide.

  • Sufficiently fresh information
  • Delivered fast
  • Within a fluid conversation

That's what converts.

What if tomorrow I leave Cloudbeds?

Nothing happens. ChatBook is PMS-agnostic.

  • Changing PMS doesn't break ChatBook
  • Doesn't affect the conversation
  • Doesn't lock you in

This is operational freedom, not dependence.

For what type of hotels does this integration work best

Especially effective in:

Small hotels (<12 rooms)
Hostels
Structured glampings
Boutique hotels

Where WhatsApp is critical, the team is small, and a fast response defines the booking.

What we intentionally do NOT do

No deep booking logic
We don't compete with the PMS
We don't duplicate processes
We don't promise technical magic

That doesn't build a brain. It builds technical debt.

Why this integration fits the Cognitive Hotel Brain

Cloudbeds:

organizes the operation

ChatBook:

protects the conversation

Together:

the hotel thinks, responds and acts with coherence

That's the Cognitive Hotel Brain in action.

Every hotel is different, but the pattern is the same.
