Real technical flow (step by step)
The guest starts the conversation
The guest writes via WhatsApp, Instagram, or web chat. ChatBook receives the message and analyzes the intent.
ChatBook structures the conversation
Before querying Cloudbeds, ChatBook identifies: dates, number of guests, room type (if applicable).
→ It doesn't query the PMS blindly. This reduces unnecessary calls.
Availability query in Cloudbeds
When intent is clear, ChatBook queries availability via the Cloudbeds API, gets updated rates, and respects configured restrictions.
→ All in near real time.
Coherent response to the guest
ChatBook responds with real prices, real availability, no contradictions. The conversation continues without friction.
Closing preparation
ChatBook captures guest data, leaves the booking ready, or hands off to the human team at the best moment.
→ Cloudbeds remains the master system.
What happens if Cloudbeds doesn't respond in time
This is critical and few explain it.
